What Shopify gives you, and what it does not

Since 2024 Shopify Plus has had native store credit: a balance on the customer record that applies automatically at checkout, and since 2025 at the register through Shopify POS. That is a good foundation. It is also where Shopify stops.

There is no concept of who funded the credit. No company, no pool, no cap. Issuance is one customer at a time from the admin, or by CSV through an app like ours. There is no way to say "this credit is for safety footwear only". There is no report that says "Company A's employees redeemed $18,400 of the $35,000 you issued in October, $2,100 expired, $14,500 remains". And there is no way for a client's HR manager to add a new hire without emailing your staff.

Every one of those gaps is something a person on your team is currently doing by hand, usually in a spreadsheet, usually well, and usually for one or two clients because a third would break them. The custom build is the difference between running two programs and running twenty.

What a program build includes

Companies and pools

Each funding company is a Shopify B2B company record with the program attached: contact, program dates, total budget, per-person amount, renewal cadence, expiry rule, and which products qualify. The pool tracks issued against budget so nobody over-issues, and so the company can be told exactly where they stand.

Roster issuance

A CSV of names and emails from the client. The upload previews what will happen (new customers to create, existing ones to match, duplicates, bad rows), then creates or matches customer records, links each one to the company, and issues native store credit to all of them in one run. New hires added later get the same treatment. Leavers can have their balance expired.

Product rules in checkout

Native store credit does not know about products. A Shopify Function running in checkout does. If a program covers safety gear only, a cart with a hoodie in it gets a clear message at web checkout and at the register, and the credit is not applied to it. Rules are per program, so the uniform program and the wellness program can behave differently on the same store.

Redemption everywhere you sell

Web checkout applies the balance automatically for a logged-in customer. Shopify POS applies it at the register once the staff member has attached the customer to the sale. For multi-store retailers we write the staff training notes with the build, because POS does not verify identity before applying a balance and your staff need a two-line script for that moment. Where the register needs something it does not have, such as a program balance lookup or on-the-spot issuance, we build a POS UI extension so staff never leave the POS app. Details on the POS and online page.

Campaigns and reminders

Credit nobody knows about does nothing. The build emits events (credit issued, balance reminder at 30 days, expiry warning at 7 days, program renewed) into your own Klaviyo or Shopify Flow so your team writes the messages and owns the sender reputation. Optional QR landing pages let a client put a poster in a break room that takes an employee straight to their balance.

Reconciliation and invoicing

A report per company per period: issued, redeemed, expired, remaining, with the order-level detail behind each number. It is reproducible, meaning the same query on the same period gives the same number next month, because it is the basis of what you invoice the client. Export to CSV, or push the summary into your accounting system. More on the integrations and reporting page.

Phase two: a client portal

Once the program is live and stable, a self-serve portal lets the client's HR or office manager add and remove people, see the pool balance, and download their own report. We schedule it as a second release on purpose, so the launch date is never at risk from the part of the build that matters least on day one.

Example programs we build

  • Employer-funded safety gear. A workwear retailer's client gives each field employee a fixed quarterly amount for boots, hi-vis and PPE, redeemable at any of the retailer's stores or online. The retailer invoices the client for what was redeemed.
  • Uniform allowance. Each role gets an annual allowance that renews on the hire anniversary, restricted to the uniform collection, with unspent balance expiring at renewal.
  • Safety and wellness rewards. Instead of cheques or gift cards, a company rewards milestones with store credit at a partner retailer. The retailer runs the program, the company just sends the list.
  • Customer compensation at scale. A service failure affects 4,000 customers. Credit is issued by segment with a note, an expiry and a reminder flow, and the finance team gets one report of what it cost.

Why the makers of Bulk Store Credit

Bulk Store Credit has been on the Shopify App Store since 2024 and carries the Built for Shopify badge. CSV issuance with preview, segment-based issuance, post-purchase credit campaigns and storefront balance display already exist and have been used by real merchants for two years. A custom program reuses those pieces and adds the company, rule and reporting layer around them. That is why the timeline is weeks and not quarters, and why the risky parts (bulk mutations against the Admin API, checkout behaviour, POS quirks) are already known.

Store credit and voucher programs: common questions

Can Shopify run a company-funded store credit program natively?

No. Native Shopify store credit (Plus, and at POS since 2025) is issued one customer at a time from the customer record, with no concept of a funding company, a pool, a roster, product restrictions or a per-company report. A program that gives 350 employees $100 each from one client's budget needs a custom app on top of the native balance.

Is the credit real Shopify store credit or your own points?

Real Shopify store credit on the customer record. That is why it redeems automatically at web checkout and at Shopify POS with no code entered, shows in Shopify's finance reports, and survives an app change. Our app adds the program layer: who funded it, what it can buy, when it expires, and how it is reported.

Can the credit be restricted to certain products?

Yes. Native store credit applies to the whole order, so restriction is done in checkout with a Shopify Function that validates the cart against the program rules, for example safety footwear and PPE only, or nothing from the clearance collection. Staff at the register see a clear message rather than a silent failure.

How do employees get onto the program?

By roster. The client sends a CSV of names and emails, or your team exports it from their HR system. The upload creates or matches Shopify customer records, links them to the funding company and issues the credit in one run. Mid-program additions and removals work the same way, and a phase two portal can let the client do it themselves.

What does the client company get billed for?

Whatever your agreement says, and the report supports both models. Some programs invoice the full allocation up front. Others, like the safety gear example, invoice only for credit actually redeemed. The reconciliation report gives issued, redeemed, expired and remaining per company per period, so the invoice number is reproducible.

How long does a store credit program build take?

The core program (pools, roster issuance, product rules, redemption online and at POS, reconciliation report, Klaviyo events) is typically live three to five weeks after the spec is signed off. A client self-serve portal is usually a second release.

We are not on Shopify Plus. Can we still do this?

Custom builds are for Shopify Plus merchants over $2M a year, because native store credit and the checkout and POS pieces this relies on are Plus features.
